Administrative Support - Health Studies

Continuing full-time position commencing March 30, 2026

DUTIES AND RESPONSIBILITIES

The Health Studies department is seeking a highly motivated, customer service-oriented individual for the position of Administrative Support. Responsibilities include the following:

  • Act as the first point of contact and a key resource for students, staff, faculty, the public, and external stakeholders by responding to inquiries, providing front-line support, and directing requests appropriately within the Health Studies department.
  • Provide comprehensive administrative support to the Program Manager, including calendar management, coordination of meetings, preparation of correspondence, and general office administration.
  • Coordinate departmental and committee meetings by scheduling meetings and appointments; preparing agendas; compiling and composing background materials; recording and distributing minutes; and following up on action items.
  • Monitor departmental budgets and expenditures, track variances, maintain and track salary spreadsheets (including timesheet hours for casual employees) and liaise with the Finance Department as required.
  • Prepare requisitions, process travel claims, code and submit invoices.
  • Arrange travel accommodation and prepare itineraries for faculty and staff, as required.
  • Maintain accurate manual and electronic filing systems, including confidential records and detailed documentation in accordance with ISO and College record-keeping requirements.
  • Assist with onboarding and orientation of new employees, ensuring required documentation and forms are submitted to necessary departments.
  • Other duties as required.

QUALIFICATIONS

  • Post-secondary diploma in business or office administration with a minimum of two years of recent related experience. An equivalent combination of education and experience may be considered.
  • Excellent oral, written, and interpersonal skills.
  • Proficient computer skills using a variety of software applications including Microsoft Word, Excel, and Outlook.
  • Proven ability to work independently and as part of a team.
  • Exceptional organizational, attention to detail and multi-tasking skills.
  • Demonstrated ability to maintain confidential and sensitive information.
  • A strong commitment to excellence in customer service.

Salary:

$25.98 - $29.13 per hour (37.5 hrs/wk)
