Administrative Assistant - Curriculum Services & LMS

DUTIES AND RESPONSIBILITIES

The Curriculum Services & Learner Management Support (LMS) Department is seeking a highly organized and motivated individual for the position of Administrative Assistant. Responsibilities include the following:

  • Respond to inquiries and act as central resource and contact person within the department for staff, faculty, and the public.
  • Compile background material, prepare agendas, attend meetings, record, and distribute minutes for departmental meetings, professional development and Certificate in Adult Education (CAE) advisory groups, and other meetings, as required.
  • Prioritize administrative work schedule to meet deadlines, based on accurate understanding of the department functioning and college calendar.
  • Source and compile information in a useable format for reports and presentations.
  • Compose/prepare correspondence, forms, and reports.
  • Schedule meetings, practicum visits, sessional classrooms, and appointments.
  • Provide data entry for course shells and schedules.
  • Liaise with internal staff and external stakeholders and service providers.
  • Maintain/improve departmental files and accurate detailed ISO records/documentation.
  • Arrange out of province travel for department staff, as required.
  • Support event coordination, such as CAE graduation and staff training sessions.
  • Perform clerical and routine accounting duties such as processing purchase requisitions, travel claims, order forms, monitor spending within budget, track renewal dates and anticipated spending, and reconcile budgets.
  • Communicate professionally within and across departments.
  • Problem-solve and find efficiencies to improve administrative processes within the department.
  • Perform other duties, as may be required.

QUALIFICATIONS

  • Post-secondary education in Business/Office Administration with a minimum of two years recent, related experience. An equivalent combination of education and experience may be considered.
  • Well-developed interpersonal and communication (verbal and written) skills.
  • Strong organizational, editing, and multi-tasking skills with the ability to manage competing priorities and meet deadlines.
  • Proficient in all aspects of MS Office Suite and comfortable working in a digital environment.
  • Proven ability to work independently and collaboratively within a team.
  • Demonstrated ability to maintain confidential and sensitive information.
  • Familiarity with higher education institutions and an understanding of educational principles and practices is considered an asset.
  • Project coordination or project management skills are considered an asset.

Salary:

$24.67 - $27.66 per hour (37.5 hrs/wk)
