DUTIES AND RESPONSIBILITIES

The Atlantic Police Academy (APA) is seeking a highly skilled, organized, customer service-oriented individual for the position of Administrative Assistant. Responsibilities include the following:

  • Develop, coordinate, and maintain detailed training schedules for core programs, in-service courses, and contract training.
  • Strategically schedule instructional staff while proactively identifying and resolving scheduling conflicts as they arise to ensure curriculum flow.
  • Liaise with management and instructional staff to determine scheduling and resource needs.
  • Coordinate guest presenters, resource instructors, and actors for scenario-based training sessions, including preparing letters and follow-up.
  • Manage facility bookings and rental requests, including communication with external agencies and coordination with Facility Management.
  • Assist with preparing and submitting ISO forms, maintaining accurate documentation for quality control.
  • Monitor building access, greet and direct visitors, and manage the assignment of pass cards.
  • Respond to general inquiries from the public, students, and staff.
  • Maintain and update the reception lobby display with course and event information.
  • Record and distribute notes from weekly staff meetings.
  • Support Kit Shop operations in the absence of the Quartermaster, including operating the cash/debit system and preparing deposits.
  • Provide general administrative support as needed.
  • Perform other duties as required.

QUALIFICATIONS

  • Post-secondary diploma in administrative or executive secretarial support, coupled with a minimum of two years recent related experience. An equivalent combination of education and experience may be considered.
  • Excellent interpersonal and communication skills (verbal, written & electronic).
  • Demonstrated proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint).
  • Proven ability to work independently and as part of a team.
  • Strong organizational and time management skills with attention to detail.
  • A strong commitment to excellence in customer service.

Salary:

$27.28 - $31.20 per hour (37.5 hr/wk)
